VISA4US – Terms & Conditions

IMPORTANT NOTICE: Please read these Terms & Conditions carefully before using our website or booking any service with VISA4US. By proceeding, you agree to be legally bound by the terms below. If you do not agree, please do not proceed and consider alternative providers.

1. Agreement & Contract

  • A booking refers to your request for services listed on our website.
  • Once full or agreed payment is received, you will receive a confirmation email, which forms a binding agreement.
  • VISA4US operates primarily as a third‑party agent/intermediary.
  • Contracts for flights, hotels, visas, and other services are between you and the service provider.
  • We strongly recommend comprehensive travel insurance.

2. Role as a Third Party

  • VISA4US acts solely as an agent, not the end service provider.
  • Airlines, hotels, visa centers, car rentals, and tour operators are responsible for their own services.
  • We are not liable for acts, errors, omissions, delays, or failures of third‑party suppliers.
  • Visa decisions are made exclusively by embassies/consulates. We have no influence over outcomes.

3. Flights – Key Terms

  • Airline terms & conditions of carriage apply.
  • Many fares (e.g., economy restricted) are non‑refundable and non‑changeable.
  • Check‑in & reconfirmation obligations are your responsibility. 
  • VISA4US is not responsible for: 
  • VISA4US changes or cancellations.
  • Seat allocations
  • Missed connections
  • Indirect / re‑routed flight

Airport Arrival Guidance

  • International flights: Arrive at least 120 minutes before departure.
  • Domestic flights: Arrive at least 90 minutes before departur

4. ATOL Protection

  • Certain flight-only and package bookings are ATOL protected.
  • If protected, you will receive an ATOL Certificate.
  • If no ATOL Certificate is issued, the booking is not ATOL protected.
  • In cases of supplier insolvency, protection is provided under the ATOL Scheme only

5. Ticket Delivery

  • You are responsible for providing accurate personal and contact details.
  • Tickets are dispatched to UK addresses only.
  • Failure to report non‑delivery within the stated timeframe may result in re‑issuance fees.
  • We are not responsible for delays caused by postal services or third parties

6. Payments & Pricing

  • Full or agreed payment is required at booking.
  • Accepted payment methods are those listed on our website only (no cash or cheques).
  • Airline prices may increase or decrease without notice.
  • Card chargebacks may incur recovery fees.
  • Separate charges may appear on your bank statement

Payment Schedules

  1. Full payment at reservation 
  2. Deposit + balance at checkout 
  3. Full payment at checkout 

Failure to comply may result in non‑refundable cancellation

7. Cancellations & Modifications

  • Governed by supplier policies (airlines, hotels, etc.).
  • Most flight bookings are non‑refundable.
  • Modifications within 7 days may incur a 20% service fee.
  • Changes are not guaranteed and may involve additional charges. 

8. Refund Policy (Visa, Immigration & Travel Services) 

We aim to provide transparent and fair refund practices in accordance with our service commitments. 

Eligibility for Refunds 

  • A refund may be requested only if VISA4US fails to deliver the agreed visa, immigration, or travel-related service. 
  • Refund requests must be submitted in writing within 21 days from the original date of payment or transaction. 
  • Proof of payment and relevant supporting documentation must be provided to validate the request. 

Third-Party Deductions 

  • If VISA4US has already made payments on your behalf to airlines, hotels, tour operators, embassies, consulates, or visa application centers, such amounts will be deducted from the refundable balance. 
  • We can only refund the portion of the payment relating to services directly provided by VISA4US. 

Visa & Immigration Services 

  • Processing fees charged by VISA4US are refundable only if we fail to provide the service as agreed. 
  • Fees charged by embassies, consulates, or third-party visa centers are strictly non-refundable, regardless of visa approval or refusal. 
  • Visa refusals resulting from incomplete, inaccurate, or misleading documentation are not eligible for refunds. 

Non-Refundable Situations 

Refunds will not be issued if: 

  • A visa application has already been submitted 
  • Travel services have already been used 
  • Services are delayed or refused due to government decisions, embassy actions, or external authorities
  • The customer voluntarily withdraws after submission or confirmation 

Partial Refunds 

  • Partial refunds may be issued where only part of the service was provided. 
  • Any refunds from third-party suppliers will be processed strictly according to their own refund policies. 

Refund Processing Time 

  • Once approved, refunds are typically processed within 7 business days. 
  • Refunds are issued via the original payment method, unless otherwise agreed. 
  • Credit card refunds will be returned to the same card used for payment

Exclusions & Limitations 

  • No refunds will be granted for delays caused by external factors beyond our control. 
  • VISA4US is not responsible for costs incurred due to customer error, document inaccuracies, or late submissions. 

Dispute Resolution 

  • If you are dissatisfied with a refund decision, you may escalate the matter through UK consumer protection or dispute resolution services. 
  • We encourage customers to contact us directly first so we can attempt to resolve concerns fairly and promptly. 

9. Passports, Visas & Health 

  • Customers are responsible for valid passports, visas, and health documents. 
  • Documentation must meet destination requirements. 
  • Visa refusals due to incorrect or incomplete documents are non‑refundable. 

10. Customer Conduct 

  • Illegal, abusive, or disruptive behavior will not be tolerated. 
  • We reserve the right to cancel bookings, involve authorities, and pursue legal action. 

11. Website Use & Accuracy 

  • Website content is provided “as is”
  • Prices, rules, and availability may change. 
  • Users must verify critical travel requirements independently. 

12. Privacy & Data Protection 

  • We comply with the UK Data Protection Act. 
  • Personal data is collected and shared only as required with airlines, suppliers, and authorities. 
  • By using our services, you agree to our Privacy Policy. 

13. Legal & Copyright 

  • All content, trademarks, and branding are the property of VISA4US. 
  • Unauthorized use is strictly prohibited.
